Role Summary

The Delivery Operations Coordinator is the front line of Fuel Me's daily and emergency fuel delivery network. This role handles site-level customer support, load coordination, emergency dispatch, and vendor-site issue resolution. Operating in a fast-paced environment, the Coordinator ensures that every delivery — from a routine daily order to a critical emergency fuel request — is executed with precision, urgency, and care. This is a role built for someone who thrives under pressure, takes initiative without being asked, and is energized by solving logistics problems in real time.

Key Responsibilities

• Confirm and manage daily fuel loads, coordinating with vendors and customers to ensure on-time delivery across all active sites
• Monitor and manage incoming communications via the 1-800 number, email, and platform tools as the central communication hub for daily operations
• Generate purchase orders (POs) as needed to support daily order execution and accurate billing
• Track and resolve late loads proactively, communicating status updates to site contacts and internal teams
• Serve as first response for urgent emergency fuel orders, initiating and coordinating vendor dispatch within a 15-minute response window
• Participate in the 24/7 on-call emergency coverage rotation, providing redundancy and ensuring no single point of failure in emergency response
• Follow established escalation protocols for issues that cannot be resolved at the site level
• Resolve delivery failures, site access issues, late arrivals, and vendor-site conflicts swiftly and with a customer-first mindset
• Execute vendor site visits, ensuring all delivery details are accurately recorded and verified
• Manage initial fills for data centers and other high-priority sites, ensuring accurate setup and flawless execution
• Field incoming calls and messages from vendors regarding daily operational issues and provide timely, professional resolution
• Provide responsive, site-level customer support and maintain strong working relationships with site contacts
• Escalate site-level issues to the Manager, Delivery Operations or the appropriate Customer Partner when broader account impact is identified
• Maintain accurate and up-to-date order, delivery, and vendor data within Fuel Me's operations platform at all times
• Support process documentation, workflow mapping, and improvement projects as directed
• Collaborate with the Vendor Relations team to flag vendor-related delivery failures and performance concerns

Required Skills & Qualifications

• Prior experience in logistics coordination, dispatch operations, fleet management, or a related operational field preferred but not required
• Strong ability to remain calm, decisive, and solution-oriented in high-pressure, time-sensitive situations
• Excellent communication skills, both verbal and written, with a professional and customer-centric approach
• Reliable availability for on-call emergency coverage rotation, including evenings and weekends as scheduled
• Proficiency in operations software, order management tools, and communication platforms
• High attention to detail with strong organizational skills for managing multiple simultaneous orders and issues
• A proactive, ownership-driven mindset with the initiative to identify and flag issues before they escalate

Growth Path

• Advancement to Delivery Operations Specialist (P3) through demonstrated mastery of dispatch coordination, emergency response, and operational accuracy. High performers may take on expanded site portfolios, lead process improvement initiatives, or move into specialized roles in Billing Ops or Vendor Relations.
