Responsibilities:
Provide high level support, as well as effective and efficient administrative support to the Head of Oncology Medical. Also provide high level and administrative support to other Sr. Leaders in the team as needed. Manages multiple, sometimes conflicting, priorities in a fast-paced and demanding environment, requiring the ability to:

  • Prioritize and execute tasks

  • Compile and prepare information for presentations using MS Office software

  • Manage the calendar, schedule meetings, manage team and offsite meeting logistics with both internal and external parties for manager and team members as requested.

  • Handle T&E, arrange domestic/international travel an prepare travel packets

  • Learn a wide range of systems and utilize in timely and appropriate manner

  • Handle highly confidential information

  • Type reports, letters, correspondence, and memos using MS Office software

  • Attend meetings, taking minutes which appropriately capture the essence of the content. Assist in follow up on action items.

  • Arrange large internal and/or external meetings including logistics for multiple sites

  • Answer/screen telephone calls, assists callers, and records accurate messages. Perform clerical duties as requested: maintains files according to business standards (record retention); orders office supplies and work with Procurement.

  • Perform periodic/ad hoc projects as requested including facilities liaison

  • Perform assigned tasks in a professional manner and serves as an internal advocate for scientific communication

  • Interface with staff and senior level managers, internal/external customers and vendors to include third party associations and organizations

  • Ensure smooth and efficient flow of day-to-day operations

  • Arrange for agreements and contracts and manage invoices

  • Support budget management including accruals and forecasting/budget process

  • Perform other duties as assigned.

Basic Qualifications

  • Associate degree

  • 7+ years administrative experience

  • Highly proficient in Microsoft Office packages including MS Outlook, Word, Excel, PowerPoint

  • Excellent oral and written communication, time management and organization skills

Preferred Qualifications

  • Bachelor's Degree

  • Pharmaceutical industry experience

  • Travel/meetings management experience

  • Project management experience

  • Experience with graphics software
