About the job
Organization of internal and external events and meetings based on requirements of the teams (cycle meetings, town halls meetings, visits of global/regional teams, celebrations, dinners…)
Based on briefing of event/meeting secure the organisational part (securing all resources needed for the event)
Communicate the meeting or event to the relevant teams and update them on any changes if needed
Active development, organization communication of internal cultural events based on themes provided by LT
Administration support of all CHC teams in terms of:
contracts, securing administration in relevant internals systems, securing their signature and archaization based on internal rules
purchase orders creation and follow up for all CHC teams
systems support, act as super user of key internal systems (eBuy, Comma, Concur, iLearn, ServiceNow…) to be able to help the teams members with the task they ar not so familiar with
On site support for internal/external communication team
Country head projects support/coordination
Budget management support
Keeping overview of issued purchase orders
Tracking differences between issued PO and actual spend/receipts
Providing monthly reports of PO and actual spend in requested detail
Securing timely and cost-effective delivery of incoming and outcoming materials and documents (post, POSM materials and samples distribution…)
Support of LT members in any ad hoc administrational tasks or projects
Management of CHC distribution list
Fluent in Czech or Slovak and English ( mandatory requirement)
Previous experience with project/event management welcomed
Quick learner, flexible and able to adapt to an ever-evolving working environment
Entrepreneurial spirit, hands on, with a bias to action
Good verbal & written presentation, communicational skills
Relationship building skills
Time management and prioritization skills
