The Contract Administrator manages standardized and administrative activities related to contracting.

Main responsibilities:

Priorities

Contract management activities:

  • Complete and send the final / execution copy of third-party templates or work-orders/change-orders (pre-filled paper) to internal and external parties for signature.
  • Perform routine/standardized contract preparation (from request to execution) under the supervision of a Contract Specialist or Contract Specialist Manager.
  • Ensure all open points related to the contract are addressed by the appropriate stakeholder.
  • Responsible for the electronic storage of the signed contract and safekeeping / archiving of signed original.

Contract related activities:

  • Oversee front-end / back-end activities related to contracting as required.
  • Perform search / audit in Contract Lifecycle Management (CLM) database and prepare reports based on predetermined criteria.
  • Prepare reporting related to contracting upon request (e.g., tax reporting for specific countries, transparency reporting, …).
  • Maintain records and other relevant documentation for contracting activities.
  • Archive and store any contracts and supporting documents in CLM tool upon request.
  • Assist in preparing documentation for contract migration in CLM tool as required.
  • Assist Contract Specialists’ teams in all predefined contracting activities upon request.

About you

Experience:

  • First experience in contract management and/or support/administrative activities.

Soft skills:

  • Appetite for contract management and process-based support activities.
  • Effective collaboration with peers, stakeholders, and partners across the organization.
  • Very good verbal and written communication.
  • Detailed and solution oriented.
  • Well organized, self-motivated, team player.
  • Time management.
  • Ability to work independently or as part of a team.

Technical skills:

  • Familiar with all Microsoft applications.

Education:

  • College or Bachelor degree or equivalent (not mandatory).

Languages:

  • Must be fluent (written/spoken) in English with additional (written/spoken) fluency in Vietnamese language (desired).
