Payroll Senior Specialist - Japanese Speaker

Operational Excellence:

Manage the T2P team to provide effective support on end to end People Services processes for Payroll, Time & Attendance and Benefits admin for Japan covering the following areas:

  • Ensuring E2E Time & Attendance including clock in /clock out for IA/manufacturing.

  • Ensuring E2E Payroll process run timely and accurately.

  • Ensuring post payroll report including GL mapping and GL reconciliation.

  • Ensuring E2E Benefits Admin in each country under KL Captive scopes.

  • Proactive support the BPO Payroll transition within the Regions.

  • Stakeholder Management to neighboring functions such as Treasury, A2R, ITS, P&C COE Performance & Rewards, COE TA & TM, HRBPS, Finance Business Partner, Legal etc.

  • Ensuring proactive support for P-Cost – budget preparation

  • Vendors Management, managing Global vendor, and local vendor for payroll T & A, and Benefits.

  • Tax management for all employees including International Mobility.

  • In collaboration with Performance & Reward to process shares management (such LTI and Shares/Stock)

  • SPOC for Internal and External Audit for Payroll, Benefits,T & A.

  • Movement: within organization, domestic relocation, international transfer (short term), International Permanent Transfer (IPT)

  • As Tier 2 level escalation for T2P

  • Ensuring local articles for T2P for each countries is up to date.

  • Ensuring proactive support for new Legal Entity (LE) or other process for integration related with Merger and acquisition (M&A), such as CHLOE, KALISTE, etc.

Process Excellence :

  • Deployment of Global Core Model and tools for Payroll, T & A, and Benefits for Japan.

  • Ensuring all DTP updated in quarterly basis.

  • Ensuring all SPA with the country review annually.

  • Work with T2P Process Excellence and LDM in building yearly training curriculum for T2P, make sure training plan is achieved.

  • Global Core Model deployment and revised or updated quarterly

  • If needed communicate with all neighboring functions, to have clear accountability on the RACI.

  • Ensuring all the gaps are closed in timely manner and get approval from Global for ’"exception”.

  • Ensuring all DTP updated and align with Quarterly Global Core Model update.

People Manager for T2P supporting Japan:

  • Ensuring IDP for each team member update and communicate properly during career dialogue with 70% on the job training; 20% cross functional/Global/regional project; and 10% Classroom training (1learn; CURIOUS; Sanofi University; #OWNIT program etc) plan in place.

  • Implement proper performance management, manage performance Improvement Plan (PIP) for poor/under performance member

  • Conduct frequent feedback and coaching, 1:1 dialogue, and Performance review (mid year and year end).

Ensuring Executive KPIs and Non Executive KPIs for Japan are fulfill the company standard requirements.

  • Identify the pain points, discuss with related stakeholder for alignment, deliver the KPIs and clear RACI, who doing what.

Compliance:

  • Ensuring all CSA are closed on time; follow up on Audit finding and closed all the finding in timely manner. Update the IC & P system report re CSA and Audit status.

Continuous improvement

  • Identify process improvement opportunities through elimination of redundant activities.

  • Participate in process automation initiatives and ensure seamless adoption and transition.

  • Participate in global projects as required.

Requirements and Qualifications

Education background

  • Bachelor’s degree or master's in HR, Business administration

Experience & knowledge

  • 1+ years of HR experience

  • Experience of payroll and benefit operation is mandatory

  • Experience in pharmaceutical industry is preferred.

  • Understands business operations and local labor laws related to payroll and social insurance

  • Good command of Computer skills (MS Office)
