As Project Specialist within our Medical & commercial team, the primary responsibility of this role is to manage and monitor the day-to-day operation of office administrative tasks for the Global Dupixent’s leadership team and ensures smooth workflow and efficiency related to administration in alignment with Global and Local needs, strategies, and directions.
Main responsibilities:
- The Project Manager will work on a project basis for MS Neurology, Medical Affairs. The project manager will be responsible for providing project management expertise and support on Sanofi Scientific events and conferences such as Congresses, Advisory boards, Symposiums, Internal meetings etc. He/she will be responsible for providing Medical Directors (MDs) with administrative support on pre-defined projects.
- The Project Manager will set and develop the operational aspects of the project, develop, and monitor timelines, milestones and project metrics and is responsible for managing the projects from an operational perspective from the development and initiation phases through implementation and completion within scope defined by the GBU, who remains responsible and accountable for the project content.
- Initiation, initial completion of operational core documents/materials, and follow up of overall projects timelines to ensure the projects move to the next step in a timely manner.
- Perform pre-defined key tasks on the projects to support the MDs and ensure the projects move forward, such as: create or ensure the required documents are completed on time by the MDs (currently GRF, ABP, PO and WBS forms) and move through the approval steps in a timely manner; when applicable, enter the documents/information on the relevant platform (Veeva, OneCRM, etc.)
- Ensure follow-up with Procurement/Customer engagement team and develop/fill the needed documents from the MDs, ensure the projects move in the systems (vendors on-boarding, new projects with vendors or consulting agreements with HCPs, payment); follow-up the contracting status; draft emails from templates, format documents (e.g. agendas, slides). Present project overview and status at management meetings
- People: (1) Seek alignment with team members and key stakeholders to ensure timely and quick transition between every project step in line with approved processes and corresponding SOPs; (2) Support team initiatives and objectives, identify and recommend process improvements and other value-added initiatives
- Performance: (1) Effective and efficient management of assigned projects to complete projects on time and, where applicable, on budget; (2) Effective management of multiple projects in parallel
- Process: (1) Develop strong understanding of the ways of working of Medical events and associated deliverables meeting stakeholder expectations;(2) Drive effective collaboration with stakeholders to understand their requirements and to propose solutions in-line with their expectations;(3) Responsible for project planning, executing and closure on time, within scope, and according to plan within the requested quality specifications(4) Uses best practices and knowledge of internal or external business practices and corresponding SOPs to improve the project processes; (5) Uses broad knowledge of project management techniques and methods, and discernment to decide the most appropriate techniques and methods for each project ;(6) Supports contract management with the establishment of contract with internal and external vendors;(7) Leads the delivery of various scientific events and providing project management support to the scientific events like symposia, ad boards etc;(8) Drives project governance meetings with various stakeholders, vendors, logistics and digital team etc. and execute effective coordination to track and monitor the progress of the projects;(9) Ability to work independently to deliver on the assigned tasks with ownership and delivering as per the requirements;(10) Organizes logistical solutions according to the project needs
- Stakeholders: (1) Builds and maintains solid partnerships with assigned internal stakeholders to better develop, coordinate, direct, and facilitate internal work and communications
About you
- Experience:
- Proven ability to work effectively in a team-oriented environment.
- Demonstrated organizational skills and ability to prioritize.
- Previous experience in a team support / administration capacity within a fast-paced business.
- Proficient at providing calendar support.
- Eloquent at communication through social media networks such as, Yammer and Linkedin
- Proven ability to meet deadlines and make best use of limited resources.
- Strong team player who is self-motivated and able to multi-task under pressure.

- Education: College graduate (advantage: manager assistant, secretary qualification)
- Languages: Business fluent in English, both written and spoken.
