You will support the organizational and administrative tasks of the Pharma Business Unit under the guidance of a Team Support Specialist with a focus on managing congresses and professional events.
Main Responsibilities:
1. Event Management
- Prepare and organize congress participations and professional events
- Manage end-to-end processes for events in the 1 CRM system (ensuring compliance requirements)
- Collaborate with third-party event and congress organizers
- Create purchase orders and handle agreements related to events
2. Compliance Documentation & Reporting
- Maintain documentation for internal and external audit requirements
- Collect and prepare data for authority submissions (National Center for Public Health and Pharmacy (NCPHP))
- Ensure systematic organization of compliance documentation (transparency statements, e-sign documents, performance certificates)
- Monitor and validate financial documentation
3. Administrative Support
- Manage partners/HCPs data
- Administer and obtain approvals for physicians' congress participation
- Handle congress registrations, travel arrangements, and accommodations
- Liaise with partners/suppliers (HCPs, creative agencies, printing companies)
- Request creation/modification of suppliers
- Support colleagues with daily operational tasks
About You
Essential Competencies:
- Native level Hungarian language proficiency
- English language skills - minimum intermediate level (written and verbal communication)
- Ongoing university studies (active student status)
- Min. 25 -hour availability/week
- Proficient use of Microsoft 365/MS Office (Excel, PowerPoint, Outlook, Teams) applications
- Experience in an office environment
- Proactive work approach and agile mindset
- Precision, reliability, and ability to work independently
Desirable Competencies:
- Experience in or interest in event planning or travel coordination
- Digital aptitude and familiarity with AI tools
