We are looking for a self-motivated, collaborative, highly organized talent with strong interpersonal and multitasking skills for the position of Executive Assistant supporting the Global Head of CMC Development, R&D, and some support to the leadership team members. Main Responsibilities:

  • Manages multiple priorities in a fast-paced environment, pro-actively managing calendars, scheduling meetings, organizing events, managing domestic and global meeting logistics and arranging domestic and international travel with both internal and external parties.

  • Ensures efficient processing of expenses for management and senior staff, as requested.

  • Prioritizes and executes tasks with minimal direction or supervision.

  • Operates at the highest level of integrity as this position will be handling sensitive and confidential information.

  • Digitally savvy, compiles and prepares information for presentations using MS Office software and other tools such as Zoom, including but not limited to, correspondence, reports, tables, analyses, presentations, scientific manuscripts.

  • Provides a positive presence and excellent support with answering and prioritizing requests and communications.

  • Routinely communicates internally and externally, and hence requires skill, tact, persuasion and/or negotiation.

  • Interfaces with staff and senior level managers, executives, external partners and consultants.

  • Ensures smooth and efficient flow of day-to-day administrative operations.

  • Interfaces with important functions such as People & Culture, Finance, and Digital to ensure efficiency.

  • Takes initiative and independently manages special/administrative projects in dynamic fast paced environment.

  • Perform other duties, as required.

About You

COMPETENCIES AND SKILLSET

Education and experience:

  • Bachelor’s degree

  • Minimum 5 years' experience in assisting executives in a global environment.

  • Proficient in Office tools including excellent SharePoint content administration.

  • Excellent verbal and written proficiency in English. Proficiency in French and/or German is a plus

Skills:

  • Ability to work independently and proficiently in a global, multi-site, multi-national environment.

  • Ability to multitask, focus on and manage successfully changing priorities dictated by a fast paced internal and external environment.

  • Demonstrated ability to work effectively and cooperatively in a team environment. Establishes and maintains excellent working relationships and internal networks with minimal direction.

  • Strong interpersonal skills

  • Ability to manage complex meeting arrangements and travel plans/arrangements.

  • Ability to multi-task, exercise judgment, make decisions, and take action to complete assignments in a fast-paced, changing work environment

  • Excellent verbal and written communication skills.

  • High ethical standards, maintenance of confidentiality

The salary range for this position is:

$35.56 - $47.41
